The Rovers Travel & Tours ("The Rovers", "we") respects your privacy. This policy explains what personal data we collect, what we use it for, how we protect it, and what rights you have under applicable law, including POPIA (Protection of Personal Information Act, South Africa).

2. What data we collect
We collect the following personal data, depending on the service:
- Contact form: name, email, subject, message, IP.
- Newsletter: email, IP, date.
- Tour guide registration: full name, date of birth, nationality, ID document type, number and copy, phone, email, city/province, languages, years of experience, previous employers, portfolio, guide licence number and validity (and copy), first aid training, prices (hour/day), packages offered, IP.
- Booking requests: name, phone, email (optional), preferred date, number of people, message.
- Technical cookies: language preference (
rovers_lang), authentication sessions for admin and the guide portal.
3. What we use your data for
- Respond to enquiries and booking requests.
- Process and manage tour guide registrations (approval, job assignment, payments).
- Send operational communications to guides and clients (request status, confirmations, changes).
- Send the newsletter (only if you subscribed).
- Comply with legal, tax and contractual obligations.
- Improve the site and our services.
4. Legal basis
We process your data based on:
- Consent โ when you voluntarily submit forms.
- Contract performance โ when you book a service or apply as a guide.
- Legitimate interest โ operational communications and site security.
- Legal compliance โ accounting and tax records.
5. Who has access
Only authorised The Rovers personnel access your data. We do not sell, rent or share your data with third parties for marketing purposes.
We may share data with:
- Assigned guides โ only the data strictly necessary (name, contact, request details) to deliver the booked service.
- Technology providers (web hosting) โ solely for technical operation.
- Authorities โ when legally required.
6. Retention
- Rejected/inactive guide registrations: up to 12 months, then deleted.
- Approved registrations: as long as the guide keeps an active account, plus 12 months after deactivation.
- Contact messages: up to 24 months.
- Booking requests: up to 24 months.
- Tax records: as required by applicable law.
7. Your rights
Under POPIA and applicable law, you have the right to:
- Access your data.
- Correct inaccurate data.
- Delete your data (where applicable).
- Restrict or object to processing.
- Withdraw consent at any time.
- Lodge a complaint with the competent data protection authority.

8. Security
We use hashed passwords (bcrypt), protected sessions, HTTPS connections, a database with restricted access and regular backups. No system is 100% secure, but we apply reasonable best practices for the size of the operation.
9. International transfers
Your data may be stored on servers outside South Africa (web hosting on European providers). When this happens, we ensure that contractual or legal safeguards are in place to protect your data.
10. Changes
We may update this policy. The "Last updated" date at the top always reflects the current version.
